Administrative Assistant II

Position Purpose

Provides administrative support to the Domestic Violence Program. Some duties include general clerical, receptionist and project-based work. Coordinates and compiles regulatory reports, provide professional, courteous and confidential support to staff and participants, and coordinates volunteer activities. Participates in domestic violence awareness and fundraising activities. Exercises independent judgment in the resolution of administrative problems. Position may from time to time be stressful and require a high demand of performance. May perform other duties as assigned.

Essential Functions

  • Compiles monthly, quarterly, semi-annual, and annual reports and submits to them to the appropriate agency and/or personnel
  • Maintains participant contact data sheets
  • Greets participants/guests, answers and screens calls, takes detailed messages, and performs general office functions
  • Writes and appropriately distributes minutes for Program-related meetings
  • Assists with development and promotion of fundraising and awareness activities
  • Provides some direct participant services; such as speaking engagements, support groups, information, referrals, etc.
  • Operates and maintains office machines and multi-line phone system
  • Processes incoming/outgoing mail
  • Assists in preparing and maintaining support staff monthly work schedule
  • Prepares correspondence and completes forms
  • Assists with processing donations
  • Compiles site income reports and/or deposits
  • Maintains and reports office petty cash
  • Assists in providing guidance and direction for volunteers and community service workers
  • Processes required documentation for volunteers and community service workers
  • Assists with various types of errands for the Shelter(s)
  • May drive company or personal vehicle on agency business

Minimum Qualifications

Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Corporate Director of Human Resources.

  • Must be 21 years or older
  • High School / GED
  • One year directly related experience
  • Obtain State of Arizona Level One Fingerprint Clearance Card
  • Valid Arizona Driver License, proof of insurance and Arizona Motor Vehicle division 39 months Motor Vehicle Report
  • Proven skills utilizing Microsoft Office Suite
  • Proven strong communication skills – oral and written are clear, concise, and in an organized fashion using appropriate style, grammar and tone
  • Ability to lift 35 lbs 10%
  • Ability to stoop, bend, climb and reach

Desired Qualifications


  • Post-secondary education
  • Previous experience in general receptionist/clerical office work
  • Bilingual Spanish/English, verbal and written
